December 5, 2017 Meeting Minutes

Attendees: Jessy Maggard, Stuart Ulferts, Ari Willey, Dani Reich, Deidre Clark, Amy Keller, Lindsay Bumba, Taylor Kersey, Mindy Stevens, Stacy Richardson, Lauren Rhoten, Caryn Weferling

Welcome/Introductions

Recording Secretary, Deidre Clark
Meeting called to order at 6:58pm. Minutes from last meeting on November 7, 2017 were approved. Stuart moved to approve the minutes. Motion seconded, and approved.

A Message from our Principal, Sue Hackmiller (Jessy reported on her behalf)
·         Math night scheduled for Thursday, December 7th
·         Husky helping house is underway for each class

 President, Jessy Maggard

·         Bylaws have been approved
·         $5865 has been given to the classrooms by PTA
·         No online auction planned for donuts for santa. Not enough items or time
·         Skate night raised $954, another one planned for March
·         Donuts with Santa volunteers still needed
·         Class Holiday Parties are scheduled for December 15. Room parents should turn in reimbursement forms in as needed.
·         Teacher events so far have been successful
·         Teacher Luncheon is scheduled for Tuesday, December 12th. Sign up to be sent out for desserts
·         Father daughter dance is scheduled for Feb 9th , looking for committee members and helpers

 Treasurer’s Report, Holly Wood (Jessy reported on her behalf)
·        2017-2018 Harmony PTA Budget 12.3 was reviewed. Stuart moved to approve budget. Motion seconded, and approved.

 Committee Reports
 Donuts with Santa, Lauren Rhoten
·         Planning and setup was discussed. Set up is scheduled for Friday at 6pm

 Open Floor Discussion
·         Two PTA meetings are planned for January. A board meeting and general meeting. Stuart moved to cancel the board meeting on January 4th. Motion seconded, and approved.

 Announcements/Upcoming Events
·         Donuts with Santa, December 9 from 9:00am – 12:00pm
·         Next Newsletter – December 13th

·         Class Holiday Parties, December 15

·         Dine to Donate, December 19 from 5-8pm at Blaze

November 7, 2017

Welcome/Introductions

Minutes from last meeting on October 2, 2017 were approved. Stuart moved to approve the minutes. Motion seconded, and approved.

Guest Speaker, Michael Dinga
Oldham County Community Scholarships (OCCS)
– OCCS works with sponsors that donate money for high school senior scholarships. Michael gave an overview of their program and thanked the PTA for continuing to sponsor a $500 scholarship each year.

A Message from our Principal, Sue Hackmiller
– Close to hiring a teacher for an additional related arts class for grades 3, 4, and 5
– Enrollment increased a little after fall break; 7 new kids enrolled
– A new husky mascot is being introduced
– 7 habits banners to go outside and at Monday Morning meetings
– Playground addition still on track

President, Jessy Maggard
Review our HES donations
– $4908 from Hustle given
– $957 from Harvest Auctions given

Bikes or Bust
– Opportunity to participate in Bikes or Bust this year was discussed
– Too late to start collecting money for this year
– Stuart moved to approve for PTA to buy 2 bikes to donate to the Bikes or Bust program this year, price to be determined. Motion was seconded and approved.

The Shed Clean Up, Complete
Upcoming Skate Party, Volunteers – coming up next week; will need volunteers for cash box

Online Spirit Wear Shop – everything on inventory currently to be included; purchase online and pick up at skating party

Auctions – New Online Set Up – coming up at Donuts for Santa
– to test out “bidding owl”

Reflections, Review
-19 entries will move on from HES to the district level

Directory, Complete
-went home in last week’s Wednesday folders
-extras are available in the office for $5 for those interested

Membership & Directory, online options for next year -researching options to offer an online ordering system for both of these

Class Holiday Parties, December 15
PTA Discussion -PTA vs PTO, more information to come after Friday’s council meeting
-overall we want to know the pros and cons of both sides

Teacher Events
-these typically start in December
-so far only heard back from related arts that there is an interest, following up to see if other grade levels will be doing them this year

Treasurer’s Report, Holly Wood
-Stuart moved to approve the 2017-2018 Harmony PTA Budget 11.4. Motion was seconded and approved.

Committee Reports Red Ribbon Week, Stuart Ulferts – It was easy and fun. Jennifer Johnson is one of 14 female Ky State Troopers (out of 1,400) and I couldn’t pass-up the opportunity to have her visit our school. She looks and acts the part and did a great job. We handed out 675 ribbons in the Cafeteria during two hours of lunch. The children seemed genuinely happy to see her.

Donuts with Santa, Lauren Rhoten presented by Jessy Maggard
-Pre-Sales to start November 16
– We will collect for the Bread of Life food pantry
– Sensory friendly craft room will be set up
-Everything is lined up, and final purchases are being made
-Volunteer sign up will go out next week
-We will have vendors and silent auction again

Playground, Kendra Wiegand
– Bricks for playground to be installed over Thanksgiving

Harmony PTA Board Meeting Minutes

Minutes of the regular meeting of the Harmony Elementary PTA Board of Directors

October 2, 2017

HES Cafeteria

Present were: Jessy Maggard; Ari Willey; Julie Bucalos; Holly Wood; Dani Reich; Miriam Applegate; Becky French; Stuart Ulferts; Sue Hackmiller; Kasey Anderson

A quorum of directors present, the meeting called to Order at 7:00PM.

Minutes:

Dani moved to dispense with reading and approve minutes from September meeting. Motion seconded, and approved.

Message from Principal Hackmiller:

KTEP results: Distinguished Achievement Score was 81.3%. Down approximately 4 points compared tp last year; however, GAP student Proficiency score rose to 54% Proficient, from 24% last year. Composite score rose 2%.

Harvest:

Casey reported ten new games were constructed and good volunteer response.

Hustle:

Julies reported gross receipts of $29,329, up from approximately $19,000 last year. Most successful Hustle ever. She received a round of applause from all present.

Stuart moved to approve donating $5,000 Hustle receipts to classrooms, special education classes, and related arts classes, pro-rata, being 10% of funds raised by these classes as part of the approved incentive scheme. Motion seconded and approved.

President Maggard:

Custodial Appreciation Day successful. Bus Driver Appreciation Week is 3rd week in October. Dine to Donate Fundraiser made $198. Will be repeated. Directory is going to printer. Red Ribbon Week/Ky Kids Day plans finalized with Ms. Murphy.

Stuart moved for appropriation of $80 for red ribbons to hand out during RRW. Motion seconded and approved.

Financial Report (October):

Holly presented the budget report attached and incorporated by reference. Approved by unanimous consent.

Membership:

Ari reports membership has risen to 315, a record for HES / PTA.

September 13, 2017

Meeting was called to order at 7:05pm by Jessy Maggard and Deidre Clark served as recorded secretary

Welcome/Introductions

Recording Secretary, Deidre Clark Minutes from last meeting (9/7/17) were approved. Motion for approval by Stuart Ulferts, second motion for approval by Mindy Stevens

 A Message from the Principal, Sue Hackmiller

  • Harmony is still looking for a foreign language teacher; may have to change to another related arts option if language teacher is not found
  • New related arts option – STEM class is going well
  • MAP testing is going on now
  • KPREP results to be released to the public on September 28th; Individual results to come home at a later date
  • Enrollment is 650 students

President, Jessy Maggard

  • New Bylaws Vote to Approve
  • Membership dues went from $5 to $3.60
  • Positions are committed to 1 year; Maximum changed from 2 years to 4 years
  • Reviewed, voted and approved (Stuart Ulferts – motion to approve; second – Mindy Stevens)
  • Council Recap
  • Pension plans for teachers were discussed
  • Bus driver shortage was discussed. OC pays for training, insurance is paid for drivers for at least 20 hours a week. 8 more drivers have been hired for the district.
  • New elementary school will possibly be built in the near future in Oldham County. Re-districting would occur.
  • Project graduation was discussed. This is a celebration the night of graduation. Bring all HS students together to prevent them from getting into trouble the night of graduation.
  • Scholarships & Awards
  • There are National PTA scholarships available. For example, parents going to school can get scholarship from PTA. More info to come out about these scholarship opportunities.
  • Harmony PTA offers an Oldham Co student scholarship
  • Bus Drivers Appreciation – October
  • Appreciation week the 3rd week in October
  • Custodial Appreciation day
  • October 2nd – PTA to plan something
  • Red Ribbon Week
  • Possibly combine activities for the Red Ribbon Week (Oct 30-Nov3) and PTA Kentucky Kids Day
  • Red Ribbon Week – designed to help foster awareness of tobacco, alcohol abuse, drug abuse; proposed to have sheriffs department to hand out the red ribbons; still have theme days, but will have new activities (play with someone you don’t normally play with; bring indoor/outdoor recess equipment 1 day, etc)
  • Wording for the flyer to be worked on; approval at next meeting
  • Newsletter
  • Next one to come out on October 11; Let Jessy know if anything needs to be included in this newsletter

  • 256 members (121 members at this time last year)
  • October 15th is when membership dues are due
  • All boards members need to make sure they are current with membership

 

Hustle, Julie Bucalos

  • $14,070 collected so far (Goal is $22,500)
  • 183 students have donated
  • Incentives – t-shirts provided for all students; sunglasses for registering with online website; numerous other items depending on sales of each child (fidget spinners, backpack buttons, pencils, Harmony harvest tickets);
  • Certificates will be created and passed out to students for the incentives; student will turn in their certificate for their prize

Harvest, Jessy reported on behalf of Kasey Anderson

  • Scheduled for October 7th
  • Trunk or treat (5th graders); will collect candy for the trunk or treat at school; pumpkin decorating contest to be voted on; pre-sale of tickets; inflatables, games, hayride, and many other activities planned

Room Parents, Amy Keller

September 7, 2017

Meeting was called to order at 9:05am by Jessy Maggard and Deidre Clark served as recording secretary.

Welcome/Introductions

Recording Secretary, Deidre Clark Minutes from last meeting (7/18/17), approved. Motion for approval by Dani Reich, second motion for approval by Kendra Wiegand.

A Message from the Principal, Sue Hackmiller

  • Still looking for Spanish teacher; if one isn’t found, will have to change that related arts choice to something elseMAP assessment to start next week; all assessments will be done on ipads or chromebooks
  • Student enrollment is at 650 students

President, Jessy Maggard  

Disaster Relief 

  • Recommendation made to add a donation for the National PTA disaster relief fund to the PTA annual budget. Everyone agreed to add $100 to the budget for this for the 2017-2018 year and re-evaluate the amount each year.
  • The Texas PTA has launched a “fill the backpacks” initiative. Everyone agreed that we should consider adopting some classrooms in the disaster areas or send supplies. PTA to work with faculty to determine the best way to move forward on this.

New Bylaws

  • Old bylaws updated. Only a few changes which includes that the PTA makes no income on membership and that PTA position terms are for 1 year with a max of holding a position of 4 years.

Sponsorships Update

  • Packets have been distributed to potential sponsors
  • Legacy bricks are still on sale for sponsors to purchase
  • Several ads have been sold for the directory
  • Donations received: $100 allotted to hospitality and 10 cases of 2 liter bottles

Auctions

  • Will have a small silent auction at multiple events instead of 1 large silent auction. Tentatively planned for Harmony Harvest, Donuts with Santa, Father/Daughter Dance, and the Mother/Son Event. Room parents will be responsible for putting together the gift baskets for auction. A percentage of the money made will go back to the classroom

Reimbursement Procedure

  • All financial bills/reimbursement requests will be picked up weekly on Fridays. On Tuesdays checks will be signed and put in reimbursement folder for pickup. PTA files are in the Library in Leslie’s office. If you prefer checks to be mailed, please provide self-addressed stamped envelope with your request.
  • Cash boxes at events – Any board member can work the cash box. An executive board member has to open and close the cash boxes.

Red Ribbon Week

  • Recommendation made to combine with Kentucky Kids Day. Kentucky Kids Day was established by KY PTA to set aside a special day for our students. Suggested that kids would be invited to donate indoor/outdoor equipment for recess, books for their classroom and all kids would be encouraged to play with a new friend at recess. Also, suggested to have the red ribbons distributed by the Sheriff’s department. Planning to begin.

Teacher Events

  • Events used as fundraisers for classrooms. Will plan for later in the year.

  • Budget Report
  • Changes for budget reviewed. Will vote for approval at next week’s meeting.

Committee Reports Hustle, Jessy Maggard reporting for Julie Bucalos

  • $11,465 collected online as of today
  • Including other collections, the total is over $12,000

Membership, Ari Willey

  • Currently 209 members have signed up (compared to 121 last year)
  • Payment due by 15th of October
  • Plan to give faculty an incentive to join PTA  by raffling off spirit wear and lunch

Harvest, Kasey Anderson

  • All new games this year. Will be held inside and outside to include games, vendors, food trucks, trunk or treat, bouncies, hayrides, face painting, and a pumpkin-decorating contest. Families will be able to pre-order tickets. There will be a sensory friendly time before and a sensory game room open all night.

Playground, Kendra Wiegand

  • Equipment to be installed over Christmas break
  • Legacy bricks will be installed in October

Spirit Wear, Kristen Frey & Courtney Sewell

  • New stuff coming in for Husky Harvest – key chains headbands, shirts, sweatshirts

Room Parents, Amy Keller

  • 16 out of 27 room parent positions have been filled. Will meet with room parents soon.
