Harmony Elementary PTA Board of Directors

December 12, 2018

HES Cafeteria

Present were: Jessy Maggard; Ari Willey; Dani Reich; Brandy Schaefer; Deirdre Weber; Suzie Hackmiller; Holly Wood, Beth Fowler, Dana Ludwigsen, Diana Schaller

A quorum of directors present, the meeting called to Order at 9:00 AM.

Minutes:    Holly moved to dispense with reading and approve minutes from November meeting. Motion seconded, and approved by Ari.

Message from Principal Hackmiller:    Announced that enrollment is steady and there are 3 teachers planned to be on maternity leave in the upcoming year. Subs are paid for by the district and are currently being lined up to fill in. Also currently hiring for a special education instructional aide. Doris Crick is retiring January 1 which will open up a Speech Pathologist position that will need to be filled. Bus driver shortage continues across the county. Harmony Bus Drivers came in last month for an educational walk and read with students. Current progress on our technology growth is going well. We now have 10 dedicated Chromebooks in each of the 4th & 5th grade classes. Allowed us to move iPads to the K-3 classrooms where each have 10-15 that stay in the classroom.

President Jessy Maggard: Texas Roadhouse fundraiser is closed and was successful. Raffle at Donuts was successful after securing the necessary gaming license. License is good through January 2019, at which time we will file for renewal. Staff luncheon donations are looking good. Almost all spots are filled. Next assembly is set up for March 2019, will be the Wulfe Bros. performing their “Teamwork” program. Invited everyone out for Zoes Dine to Donate tomorrow 12/12 from 5-9pm. We earn 25% back on profits for that timeframe. Becky French volunteered after the last meeting to be the 2019-2020 Treasurer. Announced Executive Board openings for nomination: President, Vice President for Programs, and Recording Secretary.

Treasurer’s Report, Holly Wood: 2018-2019 Harmony PTA Budget_Dec Vote to approve up to $7200 donation to school from gaming account, raffle, and program profits motioned by Holly. Motion seconded, and approved by All.  Motion to approve report and financial statement (attached and incorporated into these minutes) for November made by Holly. Seconded and approved unanimously.

Donuts with Santa: Event was a success. Photos to go home next week. Amount of food, drinks ordered was good, do the same next year.

Father Daughter Dance, Beth Fowler: Theme announced as “Ties & Tiaras”. Planning is underway and going well.

Teacher Appreciation Luncheon, December 18.

Next HES BOD meeting is scheduled for January 15, at 6:30pm in the cafeteria.

Minutes: Stuart moved to dispense with reading and approve minutes from October meeting. Motion seconded, and approved.

Message from Principal Hackmiller: Described changes in the “Gifted and Talented” Program for next year that included bi-monthly transport of 4th and 5th grade GT students to the Arvin Center for programs.

President Jessy Maggard: School assembly featuring Corey Jones, basketball player, who discussed personal character and anti-bullying was successful. Program was paid for by a grant from Centerstone, KY ASAP Region 6. Also described a successful grant for purchase and distribution of “Operation Parent: Grade School Students.’ Jessy also described work on teacher events and the school yearbook, which she and Dani Reich are producing. Reported a good turn-out for the Veterans day lunch. Announced Executive Board openings for nomination: President, Vice President for Programs, Recording Secretary and Treasurer.

Treasurer’s Report: President Maggard gave the treasurer’s report. 2018-2019 Harmony PTA Budget_November Motion to approve report and financial statement (attached and incorporated into these minutes) for October/November made by Stuart. Seconded and approved unanimously.

Donuts with Santa: Meagan Kilkelly: Event is on-track and scheduled for December 1. Total 200 dozen donuts. Live music, singers and a live Santa will be present.

Skating Party: November 15; $3 admission.
Teacher Appreciation Luncheon, December 18.
Next HES BOD meeting is scheduled for December 11, at 9:00 AM in the cafeteria.

A Quorum of Directors being present, the meeting called to order at 9:02 AM.
MINUTES: Stuart Ulferts moved to dispense with reading the minutes and to approve minutes from the September meeting. Seconded and Approved.

MESSAGE FROM PRINCIPAL: Spring, 2018 K-Prep scores for reading and writing improved 6% for students without disabilities, elevating the HES ranking by several places. HES will continue to work on improving scores for students with disabilities and all students.

HUSTLE: Jessy Maggard reported that on-line contributions doubled from last year. Net contributions totaled approx. $32,500, making it a record setting event.
Stuart moved to allocate donations of Hustle income to individual classrooms at 10% of donations originating from each class of students but no less than $100. Donation will include “related arts” classes. Seconded and Approved.
Jessy Maggard moved to create a new budget line item from “educational enhancement,” that allocates $1,500 to fund the “brag tag” program. Seconded and Approved.

FINANCIAL REPORT: Holly Wood presented the monthly report 2018-2019 Harmony PTA Budget_October, attached and incorporated by reference to these minutes. She moved to approved the report and also proposed creating a new budget line-item to fund “assemblies” at $2,475, to come from “educational enhancement.”
Seconded and Approved.

OLD BUSINESS: discussions carried over from the last meeting included Kendra Wiegand’s proposal concerning vesting of authority to “Box Tops” chair to fund new projects. The Board was told that a delegation of prior authority to fund un-identified projects in the future was outside of the PTA rules. The original motion was tabled.
A discussion of Grandparents Day and Veterans Day observance was held. Ms. Hackmiller agreed to include a very short observance of Veterans Day on the appropriate Monday Assembly. Stuart agreed to contact Tamara McGuire to provide a speaker.

HARVEST: Successful, financial report to follow. The pumpkin contest, silent auction, food trucks and total attendance were highlights of that success. St. Johns church will receive a donation of surplus candy. A list of issues and suggestions for discussion by Harvest Committee was generated:
Ticket booth location
Prize quality, budget
Playground and outdoor exercise/play areas
Bounce-House, logistics and line control

NEW BUSINESS: Ms. Hackmiller asked for some assistance coordinating volunteers for replacing playground mulch. A discussion of volunteer efforts for landscaping and plant maintenance was held, that included ways to prevent weeds and clear poison ivy around utility shed.

HARMONY ELEMENTARY PTA GENERAL MEETING: 9/11/18: 9:00 AM, HES CAFETERIA

A quorum of Board and General Members being present the meeting was called to order at 9:03AM.

Minutes were approved upon a motion by Stuart Ulferts, duly seconded.

President Maggard’s Comments: The General Membership in attendance were recognized. The upcoming Harmony Hustle event: Spetember 28;  key fob “brag-tags” have been distributed to the students; $5,000 in pledge sign-ups and other donations has been received so-far;

Harmony Harvest celebration is Oct. 6; the Harvest committee will meet next Tuesday at 8:00 AM at Prospect Starbucks

Blaze Diner fundraiser is this Thursday, bring flyer to have 20% of bill donated to HES PTA.

Principal Hackmiller’s Message: Enrollment is 645 students; approximately 21 students per classroom in lower grades, 25-26 in Fourth and Fifth grades. Received positive feedback on surveys after Parent Orientation night last week. MAP and DRA testing is on-going. The HES Leadership team is committed to transparent communication about the results.

Treasurer Wood’s Report: This year’s budget was submitted to the attendees for approval. 2018 09 HES PTA Budget $8,000 for new Chromebooks was been paid to HES by prior approval of the BOD. This year’s fundraising goal focuses on technology. Kendra Weigand moved to add $1,000 as a line item expense for the Box Top’s program, Stuart Ulferts seconded the motion but moved to take the motion off the table until next month when the affected committee chairs could be consulted. By unanimous consent the motion was placed on next month’s agenda. Finally, Ms. Wood moved to approve the budget as submitted, duly seconded, the budget was approved, as attached hereto and incorporated by reference into these minutes.

Ari Wiley, Membership: Current membership is 270, exceeding the total for the same time last year. 40-50 members joined via the internet.

Old/New business: Motion to approve expenditure of $150 from the classroom supplies budget for Ms. Connell’s to buy ceramic clay. Motion by Stuart Ulferts, duly seconded and approved.

The next regular meeting of the HES PTA BOD is set for 9:00AM on October 9, 2018 at the HES Cafeteria.

  • Still conducting interviews for the full-time counselor position
  • Literacy coach position available
  • Enrollment will dictate teacher assignments. No more space for additional classrooms. Plan to keep smaller class size for the K-2 classes.

  • Celebration Decorating – Scheduled for tomorrow afternoon

  • Crayola Recycling Program – Collect used markers and send to Crayola for recycling. Will give this program a try next school year.
  • 2018-2019 Events, Programs, & Fundraising List – Reviewed and discussed. Suggestions were to add Sale of Texas Roadhouse Gift Cards, Concession Stand for 5th/6th grade basketball game, Talent Show, Derby Celebration Activities, Veterans Recognition

  • 2018-2019 Meeting Schedule (G-indicates General Meeting) – Second Tuesday of every month as follows: 9/11(G) at 9am, 10/9 at 9am, 11/12 at 9am, 12/11 at 9am, (due to winter break, January meeting will be on the 3rd Tuesday) 1/15(G) at 6:30pm, 2/12 at 9am, 3/12 at 9am, (due to Spring Break, April meeting will be on the 3rd Tuesday) 4/16 at 9am, 5/14(G) at 6:30pm
  • OCCS Scholarship Ceremony Coming up – A representative from the Harmony PTA invited to present the scholarship we sponsor.

  • 2017-2018 Harmony PTA Budget 5.14 Current Budget Approval – Holly moved to approve current budget with any extra money to be rolled over into classroom support. Motion was seconded, and approved.
  • 2018-2019 Harmony PTA Budget 2018-2019 Budget First Draft Review – Dani moved to approve. Motion was seconded, and approved. Final draft approval to be voted on at September meeting.

  • Sponsorship for recess kits for each class to be available for the upcoming year. Will be adding this to budget.

• Oldham County Director of Development, Deborah Nichols, to host Ford Model test drive event at the Oldham County High School parking lot. School with most test drivers will receive a $500 donation
• Oldham Countians for Public Education is hosting a forum to voice concerns about education funding on April 10th

• In the past, $500 on budget was allocated to the Oldham County Educational Foundation to go toward Pyramid Awards. Stuart moved to approve for current budget. Motion seconded, and approved.

A Message from our Principal, Sue Hackmiller
• Harmony Elementary Engagement (Accreditation) Review is scheduled for March 27-28
• School Wellness Committee – To be created in order to meet the requirements of the Wellness Policy. Kendra Wiegand and Deidre Clark will be the parent representatives.
• The Oldham County Leadership Academy is leading an initiative to educating students to value the environment and take care of our world. PTA is invited to work with this Academy to do something at Harmony each spring possibly in conjunction with Earth Day.
• March 7 – Student Performance Reports to go home
• Email migration March 8-12. The entire district will be offline. There will be no email access during that time.

• PTA sponsored positive posters to go up outside of school to encourage students
• Kindergarten Registration – PTA to sale spirit wear. General PTA information and school supply information to be provided.
• Spirit Wear Update – New merchandise sale has closed. Online sale went well. Plan will be to continue online sales in the future.
• Supporting Charities – Per tax regulations, PTA cannot fundraise for non-profit organizations. PTA can support the school in these efforts, but cannot sponsor these events.
• 2018-2019 Open Positions reviewed. Contact Jessy if you are interested.
• 2018-2019 Events & Fundraising reviewed. Send suggestions to Jessy.

• 2017-2018 Harmony PTA Budget 2.28 Budget reviewed. No changes. Mindy moved to approve the budget. Motion was seconded, and approved.

Playground Proposal Review, Kendra Wiegand
• Bid approved for first phase of playground. Installation to begin in April.
• Bid proposal on wheel chair accessible playground section (with non-movement pieces that are interactive) presented. Mindy moved to approve this proposal. Motion was seconded, and approved.

  • Golf Scramble – Will work to plan for the following school year possibly at Nevel Meade.
  • Bricks – Will begin selling March 1st
  • New Spirit Wear – Current online ordering will close at the end of February. Plan to sale at Kindergarten registration and at Movie Night in May.
  • Movie Night, May 18th – Planning discussed. Will have in gym if it rains.
  • 2018-2019 Board – Chairperson positions available for Harvest, Donuts with Santa, Bookstore, Box Tops, Welcome Committee, Mother Son Event, Earth Day, Directory. Executive board position available for Recording Secretary.

Message from Superintendent – Kelly had a discussion with the Oldham County Superintendent on Jan 16th. Points shared from this discussion are as follows.

  • Re-districting of all Oldham County Elementary schools to happen most likely for the 2019-2020 school year. May happen for the 2018-2019 school year.
  • If there’s a new elementary school for Oldham County it would not be built until 2021-2022.
  • All parent concerns about the re-districting of Harmony Students should be sent directly to the superintendent. Parents are invited to attend the next BOE meeting on February 26th at 4:15pm.

Playground Update, Kendra Wiegand

The bid is moving forward and will be reviewed at the February BOE meeting. PTA is working on the next area for submission and review.

Adjustments made based on discussions from last meeting. 2017-2018 Harmony PTA Budget 2.6 Kendra moved to approve the budget. Motion was seconded, and approved.

• School need: to update technology (buy additional chromebooks, replace some ipads)
• Will be planning a field day this Spring for all grades

• School Supplies Research – New vendor, 1st Day School Supplies, was reviewed. Advantage of this vendor is that all of the supplies are Namebrand and the cost is less than Edukit. Kendra moved to switch from Edukit to 1st Day School Supplies for the upcoming school year. Motion was seconded, and approved.
• OC Community Scholarship – $500 allocated to a scholarship that Harmony PTA sponsors. There is a new $25 administrative fee that will be added. Kendra moved to include the $25 fee in the budget for this scholarship. Motion was seconded, and approved.
• Outreach to 2018 Kindergarteners – Idea was presented to invite new parents of Kindergarteners to the May PTA meeting. Flyer with PTA information could be included in Kindergartener packet.

Treasurer’s Report, Holly Wood
• Current budget was reviewed.
• Jessy moved to approve up to $8000 to finance technology for the school (final amount to be determined once budget is adjusted for winter/spring events). Motion was seconded, and approved.
• Holly moved to remove $1500 from the father/daughter event project income. Motion was seconded, and approved.
• Holly moved to remove $1250 from the mother/son event projected income. Motion was seconded, and approved.
• Stuart moved to approve budget. Motion was seconded, and approved.

Committee Reports

Father Daughter Dance, Jenn Anderson
• Planning and setup was discussed. Set up is scheduled for Thursday, February 8th.

Playground, Kendra Wiegand (Jessy presented on her behalf)
• Currently on hold due to bid approval issues.
